  1. Notice

    Auto-renewal and notice periods

    Most SaaS contracts renew automatically unless notice is given, often 30 to 90 days before the renewal date. Missing the window can lock in another term on the vendor's terms.

  2. Escalators

    Increases that compound

    Annual escalators apply to the whole subscription and compound. A 5% escalator adds about 16% over a three-year term.

  3. Seats

    Paying for people who do not use it

    Seats are rarely reduced between renewals. Licenses assigned to people who have left or never logged in renew with everything else.

  4. Packaging

    New editions and AI add-ons

    Vendors are repackaging around AI and moving customers to new editions at renewal, often with larger increases than the usual escalator.

  5. Usage

    Meters on top of seats

    Credits and usage-based charges for AI features add costs that were not in the original budget.

What changed in the last year

Across enterprise software, pricing is shifting from pure per-seat models toward seats plus usage. Salesforce replaced Enterprise and Unlimited with Core, Advanced and Max and prices Agentforce on Flex Credits. ServiceNow collapsed five tiers into three with AI metered in assists. Microsoft added usage-based Copilot Credits and the E7 bundle, and Workday prices AI agents on Flex Credits.

The result is a renewal that can rise even when nothing about the business has changed: the edition changes, AI is bundled in and a new meter appears alongside the seat count.
